Kew Carpet Cleaners Health and Safety Policy
Kew Carpet Cleaners is committed to providing carpet, upholstery and specialist cleaning services in a way that protects the health, safety and welfare of our employees, customers, visitors and the wider public. This Health and Safety Policy sets out the principles and procedures that guide our work in homes, offices and commercial premises across our service area.
Policy Statement and Objectives
Our objective is to prevent accidents, injuries and work-related ill health by identifying hazards, assessing risks and applying effective control measures. We aim to continually improve our health and safety performance and to promote a positive safety culture throughout the company.
We will comply with all relevant health and safety legislation and recognised industry best practice applicable to professional cleaning services. Health and safety considerations are integrated into planning, delivery and review of all our work.
Management Responsibilities
The company management has overall responsibility for implementing this Health and Safety Policy. This includes providing adequate resources, information, instruction and supervision to ensure that work is carried out safely and without risk to health.
Management will regularly review working methods, equipment and products used for carpet and upholstery cleaning to ensure they remain safe and suitable. Where risks are identified, appropriate measures will be taken to eliminate or minimise those risks, and procedures will be updated accordingly.
Employee Responsibilities
All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions at work. Staff must follow training, instructions, safe systems of work and use equipment correctly.
Employees are required to report accidents, incidents, near misses, hazards, defective equipment or unsafe conditions to their supervisor without delay. They must not interfere with or misuse anything provided in the interests of health, safety and welfare.
Risk Assessment and Safe Working Practices
Before carrying out cleaning tasks, a suitable and sufficient assessment of risks will be undertaken, taking into account the specific environment, access routes, floor types, electrical points and presence of residents, staff, visitors or members of the public.
Safe working practices will be applied to all activities, including handling and moving equipment, use of hot water extraction machines, operation of electrical appliances, work in stairwells and confined spaces, and work on customer premises where other contractors or occupants may be present.
Use of Cleaning Products and Chemicals
Kew Carpet Cleaners will use cleaning products that are appropriate for professional use and will follow manufacturer instructions and safety data guidance at all times. Where hazardous substances are used, a specific assessment will identify the risks and relevant control measures under the principles of safe chemical handling.
Chemicals will always be stored, transported, diluted and applied in a controlled manner. Staff will be trained in correct mixing, application, ventilation requirements, and the use of personal protective equipment where necessary. Our aim is to minimise exposure to vapours and residues for both staff and customers.
Personal Protective Equipment
Personal protective equipment will be provided where risks cannot be adequately controlled by other means. Depending on the task, this may include gloves, eye protection, safety footwear or other items suitable for the specific cleaning activity.
Employees are required to use personal protective equipment as instructed and to report any loss or damage so that it can be replaced. Management will ensure that equipment is appropriate, properly maintained and readily available.
Electrical Safety and Equipment
All electrical carpet cleaning machines, vacuums and accessories used by Kew Carpet Cleaners will be maintained in good condition and used only for their intended purpose. Visual checks will be carried out before use, and damaged equipment will be taken out of service immediately.
Cables will be routed to minimise trip hazards and will not be run through standing water or across unsafe surfaces. Only trained personnel may operate powered equipment, and no unauthorised modifications will be made.
Manual Handling
Our staff frequently handle portable machines, hoses, solutions and furniture that may need to be moved for cleaning. Manual handling tasks will be assessed to reduce the risk of strains and injuries. Where possible, equipment with wheels or handles will be used and loads will be broken down into manageable sizes.
Employees will receive guidance in safe lifting techniques, correct posture and the importance of asking for assistance with heavy or awkward items. No one is expected to lift or move anything they consider unsafe.
Control of Slips, Trips and Falls
Wet floors, hoses and cables present possible slip and trip hazards, especially in hallways, stairways and entrance areas. Kew Carpet Cleaners will use clear warning signs, organise work areas to keep routes as clear as practicable, and clean up spillages promptly.
Work will be planned to minimise disruption to householders, staff and visitors at the property. Where necessary, restricted access areas will be explained to customers and clearly signposted to reduce the risk of accidents.
Protection of Customers and the Public
When working on customer premises, our employees will conduct themselves professionally and respect the property at all times. Consideration will be given to children, pets, elderly or vulnerable occupants and anyone with allergies or sensitivities.
Where particular risks are identified, such as respiratory conditions or limited mobility, additional precautions will be taken, including enhanced ventilation, alternative product choices or adjusted work methods. We will always aim to schedule work and set up equipment to minimise inconvenience and risk.
Training, Information and Supervision
All employees will receive appropriate induction and ongoing training relevant to their role, including health and safety responsibilities, safe use of equipment and chemicals, manual handling, and emergency procedures.
Supervisors will monitor working practices, provide guidance and ensure that safety standards are followed consistently. Additional instruction will be given whenever new equipment, products or methods are introduced.
Accidents, Incidents and Emergency Procedures
All accidents, near misses and dangerous occurrences will be recorded and investigated to identify causes and prevent recurrence. Where required, incidents will be reported to the relevant enforcing authorities in line with legal obligations.
Staff are trained in basic emergency procedures, including what to do in the event of fire, electrical failure, chemical contact, equipment malfunction or sudden illness on site. Emergency exits and routes on customer premises will be identified at the start of each job wherever practicable.
Monitoring and Review
This Health and Safety Policy will be monitored on an ongoing basis and formally reviewed at regular intervals, or sooner if there are significant changes in legislation, work activities, equipment or organisational structure.
Kew Carpet Cleaners is committed to maintaining high standards of safety in every cleaning project we undertake. We encourage feedback from employees and customers to help us improve our health and safety arrangements and ensure a safe, reliable and professional cleaning service throughout our operating area.
